Problem Statement

Technological services company experienced quick growth into distinct business divisions. Each division required specific software needs that rendered necessary development of customized solutions. In addition, the company migrated its ERP from QuickBooks to SAP Business One, independent payroll software and third-party CRM solution. In addition, management of human resources and daily shifts was managed manually and reported daily via Excel and email.


As a result, the process of administration and operations became difficult to monitor taking a toll on the bottom line.

Objectives

  • Size business needs and provide recommendations
  • Design and implement digitalization tools for petty cash management in headquarters and satellite locations
  • Design and implement app to manage technician shifts and Clients’ materials.
  • Design data warehouse with proper data integration and monitoring
  • Map all target KPIs and document data dictionary and data warehouse design.
  • Clean data and provide recommendations on systems adjustments.
  • Design automated interactive visualizations in Power BI.
  • Install version control and alerts into the implementation.

Technician Management App

Within the first month of implementation, we launched a Power Apps app for tablet to manage all technician daily shifts including equipment management, fleet usage, inventory use, supervisor comments, internal audits, and controls.

These led to detailed data to manage fixed assets use, fuel usage, fleet performance, personnel efficiency, and inventory control. After the first three months of use additional functionality for client inventory entry and usage was added to the app. The app is currently being used daily by over 30 technicians across 5 different base locations.

Implementation duration from design start to final testing: 6 weeks

Petty Cash Management App

During implementation it was discovered that petty cash management and invoice reporting (required for fiscal purposes) was an issue due to lost invoices, differences in balances and multiple satellite locations.

Posibilia implemented real time digital petty cash management with integrated invoice reporting, management, settlement, and cash reposition. As with all Posibilia apps, this app is integrated to the Clients database and documented to appropriate parties via email notifications with customized information including picture and details of all expenses.

Data stored and available in datawarehouse, app and via email with customized report attached. different petty cash for this Client. Now client currently has 5 petty cash apps running.

Implementation duration from design start to final testing: 4 weeks

Visualizations

  • Posibilia developed 12 interactive reports for the financial, administration and the operations divisions.
  • Client has over 25 licenses currently configured with different permissions and access to the datasets and reports.
  • During the visualization process all data sources underwent significant cleaning and iterations that lead to tighter company controls and complete review of physical product warehouses and data input processes.
  • Client was able to identify and implement improvements to their inventory management system to significantly improve purchasing, inventory rotation and aging inventory sale.
  • Client was able to clearly identify and adjust divisions with poor performance.
  • Client was able to categorize and manage their Client base using historical data.
  • Client was able to manage daily operations real time with tight control and audit of their time usage, productivity, fuel consumption, fleet performance, etc. Duration 6 months concurrent with data warehouse.

Data Warehouse

Posibilia implemented a data warehouse in Azure which integrated and automated extraction, transformation and loading of data from 6 different sources including SAP ERP, 2 customized apps and 3 websites.

Posibilia implemented code source control and database management alerts.

Posibilia provided Client with its data dictionary and data warehouse architecture documentation.
